Participant Expectations

Expectations for Local Communities

  • Time Commitment
    The duration of Regional Improvement Meetings will be planned to meet the needs of the local community, and will be 1-4 hours in length. To ensure efficient use of staff and specialist time, meetings must be at least one hour, but may be as long as four hours if needed. Attendees should commit to attending the entire length of the planned session.

  • Requests for Regional Improvement Meetings
    Each practice, group, or local community may request up to four meetings per year. Requests should be made in writing using the Regional Improvement Meeting Request Form.

  • Minimum Attendance
    To ensure efficient use of staff and specialist time, local practices will be asked to convene a minimum number of attendees (i.e. PCP's and/or practice staff) to attend Regional Improvement Meetings. The minimum number will vary by community and topic, but must include at least 6-10 attendees. Meetings will be planned only once there has been a commitment by the local community to convene a minimum number of attendees who agree to reserve dedicated time to attend the meeting.

  • Coordination of Meeting Date & Location
    The local group or practice requesting a Regional Improvement meeting will need to identify a key contact for planning the meeting. The key contact will be asked to identify a date for the meeting that will work for local attendees, and to secure a physical site for the meeting that will accommodate the expected number of participants and faculty.

  • Other MH Learning Community Activities
    Participants in Regional Improvement Meetings will be enrolled in the MH Learning Community. They will be encouraged to participate in any other Learning Community activities (e.g. Learning Sessions), but will not be required to do so. It is expected that the content of Learning Sessions and Regional Improvement Meetings will be sufficiently varied that the two will be complementary activities.

Expectations from Learning Community Staff

  • Meeting Planning
    A primary lead staff from the Learning Community will be identified for planning each Regional Improvement Meeting. The lead staff will work with the primary contact from the local community to plan the date, location, and content of the meeting. The lead staff will secure the speakers for the meeting, and will coordinate with other MH and PHO staff to ensure that appropriate staff, materials, and data (when appropriate) are prepared for the meeting. Staff will also coordinate meals for meetings (e.g. breakfast or lunch) when appropriate.

  • Time Commitment
    It is estimated that planning for local Regional Improvement Meetings will take 1-8 hours per session, depending on duration of the session, content, complexity, and number of presenters.
